Payment and service details

Planning service terms.

Simon Bai provides this planning service in a personal capacity. Confirm your travel brief, total fee, selected payment method and these terms in writing before paying. Planning fees are separate from travel costs paid directly to providers.

Payment and invoicing

Pay 20% of the agreed planning fee before work starts. The remaining 80% is due after the final itinerary is delivered; the total paid is 100%, not an additional full fee. I use PayPal and an HSBC account in mainland China for payments. The written quote confirms the method, currency and any charges before you pay.

Services are provided by Simon Bai in a personal capacity. A Chinese VAT ordinary invoice in my personal name can be arranged through the applicable tax-authority procedure. Tell me your required buyer and billing details before payment.

Delivery and revisions

The first draft is delivered within 3 calendar days of receiving your advance payment. The final itinerary is targeted within 10 calendar days of the same payment. The timing depends on the requested revisions and communication. If changes or delayed feedback affect the schedule, we agree an updated delivery date in writing.

Up to 3 major revision rounds are included. One round means one consolidated set of feedback leading to a revised plan. Adding cities and changing travel dates do not incur an extra planning fee within these rounds and the agreed limit of 2 travelers and 4 cities. Clarifications and corrections of my own errors do not use a major revision round. Any work beyond the agreed scope is discussed before it starts.

On-trip support

During the planned trip, WeChat or WhatsApp support is available from 09:00 to 23:00 China time (UTC+8). I aim for an average response time of about 30 minutes during this window; individual replies may take longer. For urgent travel coordination, call me via WhatsApp or the phone number agreed for your trip. For immediate safety or medical emergencies, contact local emergency services directly.

Cancellation and refunds

The table below covers a client’s voluntary cancellation of the planning service. Percentages refer to the total agreed planning fee; the initial advance payment is 20%.

Final itinerary deliveredThe full agreed fee is due, with the advance credited against it. Completed planning is not refunded solely because you change your mind or cancel the trip. Unfulfilled agreed services are handled under the exceptions below.

Paid planning starts when itinerary research or drafting begins after the advance is received. The free introductory conversation does not count. Simon confirms the start of work and each draft delivery in writing.

Cancel by email or WhatsApp, giving your name and payment reference. The relevant stage is the stage when your cancellation message is received. Further planning stops at that point. Approved refunds are initiated to the original payment method within 7 business days; your bank or payment provider determines the posting time.

If Simon cancels or cannot deliver the agreed itinerary and you do not accept an alternative, all planning fees received are refunded. For incomplete agreed services, errors or duplicate charges, contact Simon for correction or an appropriate refund. These terms do not limit applicable statutory rights.

Hotel, airline, transport and other third-party payments follow each provider’s own cancellation policy. They are not included in a planning-fee refund.
